| You can reserve items yourself via the computer catalog, whether it is owned by the Downers Grove Library or by another library in the system. (Instructions below.) If the computer catalog shows the item is on shelf, do not place the reserve. Instead, call us or email and we will pull the item from the shelf and hold it for you. If the title is not listed in the computer catalog, we can still get it for you. Call or email us and we will order it for you. You must have a Downers Grove Public Library card to interlibrary loan an item. You will be notified when your reserve item becomes available. If you send someone else to pick up your reserve, please give them your library card to check out the item. Instructions Request an Item Request Multiple Items Unable to Place a Request? Request an Item Via Email Downers Grove cardholders can request (reserve) items, check their own records, and renew material using SWAN, the computer catalog. Here’s how: To Request an Item • Search SWAN, the computer catalog, for your item. • When you are in the screen that lists the title and call number, click the “Request” button on the top menu bar. • Enter the information required: your name, barcode (library card number) and PIN. (If you have not already established a PIN, read Create a PIN.) • Click “Submit.” • The computer will confirm the request. • You will be notified when the item arrives. Note: If you are requesting an item from home, and the item is listed as “on shelf” at the Downers Grove Public Library, do not place the reserve. Instead, please call or email us and we’ll pull the item and hold it for you. To Request Multiple Items • From SWAN, the computer catalog, select “My Account.” • Log in with your name, barcode (library card number), and PIN. (If you have not already established a PIN, read Create a PIN.) • Click on “Submit.” • When your name appears, select the “Search Catalog” at the right of the screen. • Search the catalog as normal to find the first item you’d like to reserve. • When you are in the screen that lists the title and call number, click the “Request” button on the top menu bar. Note: You no longer have to enter in your personal information each time you would like to request an item. • If you would like to place more reserves, select “Patron Record.” Do not click on “Start Over” or “Logout” as you will be logged out of the system. • Select “Search Catalog” at the right of the screen and continue as you have above. • When you’re finished using the computer catalog, click on “Log Out”, and you will be logged out. Note: If you are requesting an item from home, and the item is listed as “on shelf” at the Downers Grove Public Library, do not place the reserve. Instead, please call or email us and we’ll pull the item and hold it for you. Unable to Place a Request? There are some reasons why an item will not be available for you to request online: • If you are using a computer at the Downers Grove Public Library and the item is on shelf, your request will not be accepted. • Some items do not circulate and requests may not be placed for them. Note: In all cases, please ask a staff member for assistance. Alternative ways of obtaining the material may be available. Check Your Record • From the Main Screen of SWAN, the computer catalog, click “My Account.” • Enter the information required: your name, barcode (library card number), and PIN. (If you do not have a PIN, read Create a PIN.) • Select “Submit” button. Note: Within your record, you can view the items currently checked out, see requests (holds) outstanding, and modify your PIN number. When you have finished, be sure to click on “Log Out” to clear your record from the screen. Create a PIN In order to place reserves online and to check your own record, you will need a PIN. If you need to establish a PIN you can do so online, either the first time you place a reserve, or via the “My Account” screen. Follow these instructions: • A screen will come up asking for your name, barcode (library card number), and PIN. • As you enter the information, press “Tab” on the keyboard or use your mouse to click in the next box. Do not press “Return.” • At “Enter Your PIN” enter your chosen PIN. • At “Enter Your PIN Again” enter your PIN again. • Select “Submit” button. Note: Your PIN can be any combination of letters, numbers, or characters up to 30 characters long. Choose a PIN you can remember easily. The library does not keep track of PINs for patrons. If you forget your PIN, staff at the Circulation Desk can delete the old PIN, and you can enter a new one on the computer catalog. Renew an Item • From the SWAN catalog, select “My Account.” • Log in with your name, barcode (library card number), and PIN (If you have not already established a PIN, read Create a PIN.) • Click on “Submit.” • When your name appears, select the “Items Currently Checked Out” link on the left side of the screen. • You can renew all items by clicking on the “Renew All” button. To renew only certain titles, select each title by clicking in the box in the “Renew” column. Then click on the “Renew Selected” button. • After you click on the “Renew” button, look in the “Status” column. If the book was renewed successfully, you will see “Renewed” in the status column, followed by the new date due. If the item cannot be renewed, the reason why will appear next to the date due. For example, books that have holds for other patrons cannot be renewed. If you renew a book that has holds, the message “On Hold” will appear in the status column. If You are Unable to Log In to Check Your Record or Place Requests If you are unable to log in, you may be entering your name or barcode (library card number), or PIN incorrectly. • Name: Enter your name exactly as it appears on your library card. If you use a middle initial, be sure to enter that. • Barcode: Do not use spaces when entering your library barcode. The numbers should run right after each other. • PIN: The library does not keep track of PINs for patrons. If you forget your PIN, or your PIN is not working, staff at the Circulation Desk can delete your PIN and you can create a new one. Email Your Request • Click on the relevant department to place your request. • To expedite your request, please include your name, a phone number where you can be reached, and your library card number which begins with 2 1191.
